Girls' data must also be on the system by the end of December 2009 and the 2010 census will be administered via Go!
GO! and 2012 SUBSCRIPTIONS Go! Recordsthis is an early reminder to make sure all Go! records for both girls and adults in your level are up-to-date by 22nd February latest. Additional information on the 2012 subscription will be published nearer the time. Division / District Levy Commissioners: If you are planning to add a levy to the annual subscription for your Division or District please email Sue Lambert with your level name, levy value, bank sort code and account number by 29 th November latest.Changes To Membership Status and Subscriptions With effect from 1 st January 2012 changes are being made to the status of some roles in Units, Districts, Divisions and County. Many roles which were previously non-member will become member status and provide membership benefits such as full website access and Guiding magazine. They will therefore also attract a subscription charge in 2012. For example Unit Helpers and District Secretaries will now be charged a subscription. Unit Occasional Helpers will continue to be non-members and will not be charged a subscription. Subscriptions are paid where the member has their „Main Role‟ so for example if a member‟s main role is Leader and they are also a District Secretary the subscription will be charged to the Unit/Group.A full list of roles and subscription status can be found on Go! Click "download help files" from the main menu Click "help for unit users" or "help for District/Division users" as appropriate Click "membership and recruitment information" Scroll down the page and click "Girlguiding UK Roles" then select the level required To ensure your subscription invoice is correct for 2012 please make sure all adult roles in your level are correct. Contact your Commissioner to arrange any role changes or roles to be made inactive by 22 nd February latest.CRB Checks For Young Leaders Whilst 16-18 Young Leaders do not generally require a CRB check, if they are attending residential events with Rainbows, Brownies or Guides a CRB check is required. Census for Trefoil Guild Trefoil Guild and Girlguiding UK are two separate organisations and each has their own census payments and processes. Trefoil Guild members should therefore pay their census to Trefoil Guild. However, if they wish to receive a copy of Girlguiding publications and other benefits they also need to be a member of Girlguiding UK and pay the Girlguiding census in addition to the Trefoil Guild census. A Trefoil Guild member who also has a role in Girlguiding UK and who pays both subscriptions can be listed as a member on Go and that will generate a census payment. Trefoil Guild members with a role in Girlguiding, who only wish to pay Trefoil Guild census should be listed on Go as a Recognised Volunteer by their local Commissioner or Key User.
SERVICE AWARDS Length of service award checks and additions of service awards to Go will now be managed by Diana Adams. This is a natural progression of the process Diana had been managing until the arrival of Go, and the addition County Go login will allow her to check the Go records plus her own historic records and advise the correct service award due. Please email Diana with your length of service checks and include the membership number on each query. If the Go system does not match Diana’s records you may need to provide confirmation of roles held so that the system can be updated. Diana will also be able to add awards issued onto the County Go system (they cannot be added on standard Go). TRAINING AND SYSTEM USAGE QUERIES I am very grateful to Jeannette McGhee for offering to take on Go! training. Jeanette has experience of using the Go system at Unit, District and Division levels and has helped many Guiders in her own Division. She is happy to arrange 1:1 training sessions or support training events as required. MEMBERSHIP SUPPORT Ann Jackson will continue to provide support for Cheltenham Division and others in the County particularly with regard to reporting requirements and responding to queries and issues which come via the website contact forms. Sue Lambert will continue to manage new Unit registration, census queries and payments, liaison with the national Go Team and any other Go issues or queries you may have. N.B. you haven’t yet found it, there is a really useful section in the Personal
Details record which allows you to check the status of the CRB check for your
new appointments. Using Role Management, go to the record of the
individual you want to check. At the top of the page is a list of links.
Click Adult Volunteers and Young Members Aged 16+ and this will take you to a
page showing the status of their reference checks and CRB certificate. If
you think there is a problem with the information shown there, you need to
contact the Confidential Records Team in Go! Support at HQ. (Contact details on
the front GO! screen) CRB
and Reference Checks HQ
has issued a new process document for references and CRB checks, and confirmed
the roles requiring CRB and/or Reference checks. The list of roles has been
sent to Division Commissioners and can be viewed here. NB If a leader/young leader is still appearing as Active Pending after a couple of months it is possibly because their References have not been received. This may be because they were added as region stopped doing these and as the Go system came into operation. Contact Sue or Ann if you need help solving this NEW ROLES FOR EXISTING GUIDERS AND VOLUNTEERS Local Commissioners and Key Users can add or change roles for existing appointments, and new appointments. It is always best to use the membership number when adding or amending roles as this avoids any confusion or duplication of names. For example there is more than one Joan Baker in Girlguiding UK and using the unique membership number will ensure you appoint the correct person to the role. To add a role for an existing member go to Role Management and navigate to the unit/level where the new role is to be created. Select the role from the list and enter the individual’s membership number into the box. Then follow the on screen instructions for that role. To change a role e.g. Leader in Training to Leader, the new role of Leader needs to be created by navigating to the unit via Role Management and creating the new role, and then the previous role (Leader in Training) ended by setting it to inactive and entering the end date for the role. HELP WITH GO The "download help" files on the Go system main menu contain information on both the new processes and how to use the system. If you are not sure what needs to be done or how to do it, you may find these files useful. If they don’t answer your queries, you would like some training on the new processes or help with how to use the system please contact your local Commissioner or County Go Support. The Download Help Files section of the Go website contains step-by-step instructions in the How Do I Go Streamline folders. Do have a look at these if you are unsure to do amend records, add girls/leaders create and manage waiting lists. ACCESS

you can’t access the system or are unable to input the data please contact us
urgently. If you haven’t received a Go! password, visit www.girlguiding.org.uk
and click the link to Go! then click the “forgotten password” link. This
should send your password to the email address listed for you on the system. If
you still don’t receive your password, either email the HQ Project Team at gosupport@girlguiding.org.uk
including your membership number in the email or call 0808 168 1908 (Monday
to Friday from 9am to 7pm - answer ’phone in use out of hours).
