GO! is now live in GLOUCESTERSHIRE

Go! provides secure online administration for ALL Members and Recognised Volunteers. Girls' data must also be on the system by the end of December 2009 and the 2010 census will be administered via Go!

Census

Thanks to everyone who's updated Go! and sent back their census returns. 85% of Gloucestershire Units have now paid their census invoice which means the County is able to claim its levy. A list of outstanding payments has been provided to Division Commissioners for checking/chasing. If Units no longer exist please let me know so that they can be deleted from the system and removed from the overdue payments list.

If the census invoice needed manual adjustment to reflect the true payment being made, please ensure the changes are also made on the Go! system.

Personal Details – END button

If you have an END button against an active in your record and you cannot edit your information please email me sue@twynetics.co.uk  with your name and membership number so that the record can be corrected.

Note For Commissioners Ref New Appointments

If you haven’t yet found it, there is a really useful section in the Personal Details record which allows you to check the status of the CRB check for your new appointments.  Using Role Management, go to the record of the individual you want to check. At the top of the page is a list of links.  Click Adult Volunteers and Young Members Aged 16+ and this will take you to a page showing the status of their reference checks and CRB certificate.  If you think there is a problem with the information shown there, you need to contact the Confidential Records Team in Go! Support at HQ. (Contact details on the front GO! screen)

CRB and Reference Checks

HQ has issued a new process document for references and CRB checks, and confirmed the roles requiring CRB and/or Reference checks. The list of roles has been sent to Division Commissioners and can be viewed here.

In future HQ will send a list to County of all references which have not been returned after 42 days. This will be forwarded to Divisions for checking. HQ is now responsible for sending out all reference requests. Where required, references should be entered onto the Go! system when adding a new individual or changing a role. If possible please add an email address for the referees so the references can be processed faster.

If the new appointment is doing an Adult Leadership Qualification please complete the form for Jean Bennett. This can be found either via the County Website or direct at:  www.twyningguides.org.uk/application.html This form is only required for new applicants undertaking their Adult Leadership Qualification.

NB If a leader/young leader is still appearing as Active Pending after a couple of months it is possibly because their References have not been received. This may be because they were added as region stopped doing these and as the Go system came into operation. Contact Sue or Ann if you need help solving this

NEW ROLES FOR EXISTING GUIDERS AND VOLUNTEERS

Local Commissioners and Key Users can add or change roles for existing appointments, and new appointments. It is always best to use the membership number when adding or amending roles as this avoids any confusion or duplication of names. For example there is more than one Joan Baker in Girlguiding UK and using the unique membership number will ensure you appoint the correct person to the role. To add a role for an existing member go to Role Management and navigate to the unit/level where the new role is to be created. Select the role from the list and enter the individual’s membership number into the box. Then follow the on screen instructions for that role. To change a role e.g. Leader in Training to Leader, the new role of Leader needs to be created by navigating to the unit via Role Management and creating the new role, and then the previous role (Leader in Training) ended by setting it to inactive and entering the end date for the role.

SERVICE AWARDS

Service Awards are now checked via the Go system. To check an award due, Commissioners need to email Sue Lambert (details below) and copy Diana Adams with the name, membership number and current role of the individual. We will then check the record on Go and advise the listed length of service. The length of service is sometimes less than expected and this is often due to either a gap in service or the roles not being correctly recorded on Go. In both cases a list of the dates and details of the appointments held will need to be provided so that these can be entered correctly onto Go.

HELP WITH GO

The "download help" files on the Go system main menu contain information on both the new processes and how to use the system. If you are not sure what needs to be done or how to do it, you may find these files useful. If they don’t answer your queries, you would like some training on the new processes or help with how to use the system please contact your local Commissioner or County Go Support.

The Download Help Files section of the Go website contains step-by-step instructions in the How Do I Go Streamline folders. Do have a look at these if you are unsure to do amend records, add girls/leaders create and manage waiting lists.

ACCESS TO THE GO! SYSTEM

If you can’t access the system or are unable to input the data please contact us urgently. If you haven’t received a Go! password, visit www.girlguiding.org.uk and click the link to Go! then click the “forgotten password” link. This should send your password to the email address listed for you on the system. If you still don’t receive your password, either email the HQ Project Team at gosupport@girlguiding.org.uk including your membership number in the email or call 0808 168 1908 (Monday to Friday from 9am to 7pm - answer ’phone in use out of hours). 

  REMINDERS AND UPDATES FOR USING THE SYSTEM

  • When adding a new individual, please remember to enter their membership status.
  • When adding a new role to an individual, please remember to select the right role specialism,

e.g. Rainbow, Brownie, Guide, Senior Section Member or Leader roles.

  • When adding a new role to an individual, please remember to select the individual’s type as either ‘Girl’ or ‘Volunteer’.
  • To prevent entering duplicate roles, when you wish to edit an individual’s record, please go to ‘View active young members’ or ‘View active Unit team’ and not the individual ‘Role’ name.
  • If you have an ‘Active’ role but with the ‘end’ icon against it, this either means that your role has to be extended (with a ‘valid to’ in the future) or that your role status has to be changed to ‘Inactive’. Please contact sue@twynetics.co.uk to have this corrected.
  • If you have created a duplicate record by mistake, please email gosupport@girlguiding.org.uk for adult records; confidentialrecords@girlguiding.org.uk for girl records. Please email their Name, Date of Birth, Address and registration number (if known).
